Responsibilities may include some or all of the following: – Customer Service: Liaise with clients, contractors and staff via email, phone and video, upholding customer service best practices – Auditing: Manage job and invoice reconciliation and investigations – Proactively manage compliance for company, staff and client accreditations and Insurances. – Manage stock ordering and database reconciliation – Manage work allocation and job processing, including variations, disputes, reconciliation and invoicing – Manage timesheet reporting, rosters and leave requests – Track company and staff performance results daily – Produce graphs and reports for managers, communicating data in meaningful ways – Assist in developing consistent, relevant and effective processes to reduce operational costs and build value into the business – Participate in and contribute to company meetings, events, functions and activities – Do other admin tasks as the business requires Skills & Experience needed: – Preference is given to those who have Accounting/Finance Background. – Strong administrative/clerical/secretarial background – Efficient, organised, flexible, professional, reliable – Positive “can-do” attitude – High attention to detail – Proactive in your duties, with the ability to see things holistically – Self-directed, proactive, communicative – Pro Excel user (e.g. pivot tables, graphs, formulas, cell referencing) with focus on data analysis and visualisation – Strong English proficiency (written and verbal) – Prior Experience working for Australian corporates is highly favourable but not required Other Requirements: – A modern laptop with minimum specs: i5 processor or equivalent, 8GB RAM, 500GB HD (desktop as backup only) – DSL or Cable internet as your main internet connection (stable) – A backup 4G/LTE internet connection (could be a wifi dongle or pocket wifi) – High-quality headset and webcam – Active third-party antivirus and third-party firewall (not windows/Mac firewall). E.g. Avast antivirus, zone alarm free firewall. Must be set to auto-update and medium/high settings at all times. Copy of full system scan report must be provided prior to commencement and every two months. – Genuine Windows 10 installation or latest OSX (older OS not permitted). – Genuine MS Office installation or equivalent office suite – Chrome browser, LastPass browser plugin, Adobe Acrobat reader – Thunderbird, Outlook or other email clients – UPS/backup generator (preferred) If you believe you are the right candidate for the role, please send in your application.
