This is a 5 to 20 hour a week job, with growth potential. I own 110 apartments and manage a Short Term Rental (Airbnb). Also I am a pastor, very involved with my church, and am in the process of starting a non profit that rescues farm animals. We have a cow, pony, donkey, 6 goats, 2 dogs, 6 cats, and a two year old and three year old humans! Prior to Covid I traveled extensively overseas doing missions work, preaching, distributing food and the like. Hope to start this again in 2022. On staff I have a head of maintenance, and three handymen who work beneath him, and an overseas virtual assistant. I’ve worked with a few U.S. based VAs but not sure any of them are the best fit. Please put the word Frog at the beginning of your cover letter so I know you read all of this. I dislike talking on the phone. My preferred method of working with remote staff is for me to record a dictation, email it to them, and have then respond via written email or for something more urgent a text message. I need any applicant to be able to work with this communication style. I am looking for someone who I can give access to my phone system, email, Asana, and other accounts and have the respond on my half, following my specific instructions….for each communication. I may work up to having you respond based on my prior instructions, and your knowledge of our operations. Particularly I’m looking for someone to -Returning or make phone calls to local boroughs, magistrates, rental help agencies. -Texting tenants from our app. -"Paperwork." – Filling out PDF forms. leases, Docusign, I have accounts that let you send faxes, letters, without needing to touch anything. On occasion I turn all communication methods off besides my personal phone number for texting 24-36 hours at a time. I’d like to start doing this more frequently, or even possibly get to a point where I check in with a Administrative Assistant and Head of Maintenance once a day or two and pretty much let them run the business. We’ll see where it goes. I’ve had trouble filling this role and I’m not exactly sure why. I had a VA working with my for over a year and she was awesome, but only had about 7 hours a week to give. She left on maternity leave a few months ago and I’ve been looking for a new administrative assistant since then. I’ve had a bunch of applicants work for a few weeks or not work out. Two main issues have been very slow turn around times for tasks, or they just stop responding, or inattention to details….. I’ve had many staff over the years and they have always told me I’m easy to work with. I’m kind, and note rude, so not exactly sure why I’ve been having trouble filing this position. I completely re-wrote the job description to try to clarify my expectations up front. Perhaps this will help. We are in eastern time, but I don’t have set hours. People have asked if I can work from X to Y on the following days…. The ebb and flow of my work isn’t quite like that. Some days I have no work, other days a few hours…. I’m looking for a one business day turn around for tasks that are 10 minutes or less, and next business day turn around for 10min to 1 hour tasks. If I have something urgent I ask that it be done same day if possible, or if you cannot at least respond promptly and tell me you cannot accommodate the time frame. I work various days but don’t follow a particular weekend/weekday schedule. I don’t mind if you work weekends or take them off. Some of the tasks need to take place between 10am to 4pm EST. In your cover letter please let me know that you are OK with working 5 hours some weeks, and 20 hours other weeks, that you are OK with my communication style, and that you are OK with the expected turn around times listed above. Also let me know specifically the type of work and experiences you have had in the past that might have prepared you for this job. Also maybe a suggestive explanation of why my other applicants haven’t worked out, and how we can work together successfully. Do you have anyone who can cover for you in your absence?
