MUST LIVE IN DENVER AREA.. I own a small but growing interior design firm located in Lakewood, CO.  I am looking for a sharp, positive, enthusiastic individual to support my current and next level of growth.   I need someone who will handle and be proficient in; -Managing internal processes and communication with clients (including a focus on client on-boarding/updating), product ordering, schedule building and project timeline coordination and management.   -Tracking a project through it’s life-cycle, from proposal to order, through shipping and delivery, including keeping track of project budgets and timelines -Keeping our design platform (Houzz formerly Ivy.co) updated with relevant details for each project/client. -Transcribing project/site-visit notes -Implementing marketing initiatives -Handling social media and website updates (can train the proper candidate but really prefer someone with experience) QUALIFICATIONS: Comfortable being both admin assistant & occasional personal assistant and working mostly virtually but also occasionally out of my home office, local stores/showrooms or on project sites Must have own MAC computer Excellent computer skills, proficient with MAC and iPad/iPhone Proficient with office software (Numbers, Pages, Mail, etc. or Microsoft office expert willing to learn MAC’s version). Also Google Docs or similar. Marketing/graphics/social media knowledge. Experience with photo editing and other graphics programs a plus. Will be handling weekly social media posting and filming site visits and installs for stories/reels. Experience creating spreadsheets and working with formulas • Knowledge of QuickBooks a plus Experience with purchasing and procurement a plus (can train the proper candidate) Experience with shipping, deliveries and logistics a plus (can train the proper candidate) Experience with estimating preferred (can train the proper candidate) Exceptional communication and problem-solving skills • Extremely detail oriented and organized A minimum of 2 years of administrative/office experience MUST be pet friendly and pref. not allergic to cats or dogs (or scared of them). .Might be able to bring a well behaved dog with you to home office if she/he gets along with my dog and cats. Must be relatively fit and be able to carry up to +/- 50lbs. on occasion (you don’t need to run spartan races, but install days can be physically taxing). Experience working in an interior design/architecture office a huge plus, but not required (should not be looking to become a designer as this is an administrative position only with no room for growth in design but possible room for growth as Assistant or Manager.) MUST HAVE PROOF OF BEING FULLY VACCINATED (OR CLOSE TO IT). Must also be okay wearing masks indoors. Responsibilities: Obtain bids from vendors and sub contractors Work with spreadsheets to create project estimates, schedules, etc. Typing/editing specifications, scope of work, meeting minutes, etc. Placing orders online and with vendors & subcontractors Data entry into quickbooks Maintain and update contact database & sync with iPhone Maintain and update office calendar & sync with iPhone Maintain client folders and design library/storage Assist designer on job site visits and take detailed notes and photos Assist designer on furniture/accessories installation days. Requires moving heavy objects, running around managing installers, organizing/keeping track of accessories, ordering lunch, etc. Picking up and dropping off design samples. Occasionally accepting deliveries at client’s homes or checking on deliveries with storage company. Personal assisting tasks include: 
 Occasional pet sitting availability.
 Occasional dog walking.
 Occasionally run errands, ex. returns, pick up orders, nothing crazy Flexible hours, but must be available for a minimum of 8-10 hours (sometimes more) per week on a set schedule. Additional hours will occasionally be required for meetings, job site visits, installations, etc. so you must be flexible and available (within reason and with advance notice). Hours will depend on how busy we are. ** Office is a home office with cats and a dog. Successful candidate will be a dependable, self-starter with excellent verbal and written communication skills, professional phone manner and strong computer skills. Should be well organized with the ability to prioritize and multi-task. Must be reliable, punctual, a quick learner, and be someone that brings a positive attitude to the work environment. Honest, dependable and willing to pitch in whenever necessary (working at a small company requires the ability to wear many hats, so you have to be okay with and enjoy that). Background check will be required. MUST HAVE: Valid Driver’s License Valid Auto Insurance Vehicle in good condition (SUV or truck a +) $15 to $20/hour (depending on experience and knowledge) plus mileage reimbursement.
