VA Role Description Overview: Looking for a smart, fast, technologically adept virtual assistant for the CEO of a startup investment company. This is part-time role with potential to grow into full-time within 6-12 months. It is a Work-From-Anywhere position, however working hours need to somewhat align with Australian Eastern time. Mission: The mission of the Executive Assistant is to proactively take charge of all administrative details to allow the CEO to focus on business development and growth. They should create and maintain systems for accomplishing repetitive tasks, and be able to think critically when conducting research and accomplishing assigned tasks. The EA should ensure all tasks and projects are completed with a high level of efficiency, confidentiality, accuracy, flexibility, and positivity in order to support the initiatives of the CEO. Responsibilities: ● Schedule meetings, podcasts and webinars via email with the assistance of an integrated Calendly account. ● Schedule personal appointments and travel arrangements ● Email Inbox Management. Responding to requests for needed information when they do not require a written response from the CEO. ● Project Timeline Management. Keeping the leadership accountable to project timelines— advocating for, and assisting in their successful completion. ● Email Marketing via: ConvertKit, ActiveCampaign or MailChimp. Actively manage the company’s CRM, inbound leads, drip campaigns, monthly newsletters and personal notes to clients. ● Virtual events & special launches: Create and manage teaser & lead up email sequences, and ensure replays are sent to the appropriate audience. ● Manage and track registration within the CRM. ● Logo branded gifts to clients: Research best products, create a system for tracking gifts, and manage the sending of those gifts with personal notes. ● Podcast & Webinars. Coordinate post-show production by editor, graphics designer and show notes writer. Audit the quality and ensure publishing is on-time and on all correct social/email channels. ● Social Media. Manage posting of provided content on a set schedule across multiple platforms. ● Track deadlines for payments, permits, entity filings and business licenses. ● Research best in class (and cost efficient) info-graphic, motion graphic, video editor, audio editor, show notes writer and blog writer personnel. Assist in on-boarding, communicating and coordinating with these contractors to create our desired product. ● Organize Dropbox and Google Drive as part of an overall file organization system to be created ● Assist with Ad-Hoc projects as required by the team Proficiencies: Email marketing: The candidate must have experience creating and managing email marketing campaigns with either (in order of preference): ConvertKit, ActiveCampaign and/or MailChimp. Social Media Marketing: must have social media marketing experience across Instagram, Facebook and LinkedIn and YouTube. Communication: must be an excellent written and verbal communicator with attention to spelling, grammar and punctuation in all external copy. Must be able to track communication (and be very responsive) across multiple channels without losing any details. (Channels could include verbal conversations, text, email, slack etc.) Must be able to take large amounts of information and summarize it quickly on a regular basis. High Level of Discretion: Since our EA will regularly work with confidential financial information and passwords, discretion is a must. Anticipating Needs: In order for the CEO to develop the company as fast as possible and serve our clients at the top of his game, our EA should strive to anticipate the needs of the CEO and to eliminate friction and sticking points whenever possible. This involves being extremely proactive, thinking critically, and staying a few steps ahead to clear mental clutter and cut a path to enhanced productivity in their most meaningful activities. what is 2/3?
