The Role Under the direct supervision of the Director of Operations this position provides administrative and clerical support for the Director of Operations and the department. In addition to typing, filing and scheduling, performs duties such as record keeping, coordination of meetings, and working on special projects. Also, assembles highly confidential and sensitive information including accounting and payroll information. Deals with a diverse group of important external callers as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize a diversified workload. The most qualified candidate for this role will have experience assisting within a startup or consulting environment. This position requires understanding of office productivity applications such as those available through GSuite. A high quality productivity level within a fast paced environment and strong problem-solving skills on time-sensitive tasks is a necessity. This is a contract hourly position with a minimum commitment of 10 hours/week and a maximum commitment of 40 hours/week depending on your availability. Duties and Responsibilities – Provide support to executive and operations staff as and when required – Update internal operation procedures document as needed – Coordinate with the executive staff to schedule team meetings and to provide follow-ups – Participate in customer meetings and distribute minutes of meetings to the team – Perform general office administrative and clerical duties – Reconcile payments and receipts to various parties on time including basic bookkeeping and payroll through Quickbooks – Proofread and correct reports, presentations, and client-facing materials – Documents correspondence with clients and related activities in the Adinkra Customer Relationship Management (CRM) systems. – Assists with creating job descriptions and hiring – Assists with employee account setup and onboarding – Multitask across multiple projects, triaging as necessary to ensure success – Collaborate with any team or project as required, assisting with non-specialized tasks Required Qualifications – High school diploma or GED certificate – Strong interpersonal and language skills – Proficiency with common office productivity software, including Google Docs, Slides, Sheets, PDF, GSuite email – Strong data entry skills and attention to detail – Superb time-management and organizational skills – Strong problem solving skills in an unstructured environment – Self-motivated and independent, critical thinking Preferred Qualifications – Bachelor’s degree – 3+ years of experience as an administrative assistant or in a related position – Experience in startup or consulting companies
