I am looking for a candidate to provide assistance and support to a program working with European companies and associations. Under the guidance of the Managing Director, the Program Assistant (PA) will conduct various administrative tasks, provide basic marketing and technical support, and communicate with clients under guidance. The PA will need to have an impeccable written English, availability to work during European office hours, the ability to manage efficiently multiple tasks and have a strong client focus. This Program Assistant role encompasses 3 main tasks: 1. Administrative support and Client Relationship Management Using a CRM software, perform data entry, editing and report generation: • Create, edit, merge and delete company and individual records • Create and edit events • Link records (main/subsidiary, employment, etc.) • Register/unregister individuals for events • Create reports (registration lists, etc.) • Record bank transfer payments against individual accounts. • Update client records with reports of meetings and other activities with Brx staff • Keep an annual record of office revenue and activities • Raise invoices as needed • Help staff with proofreading documents • Other admin support tasks as needed 2. Marketing and Technical support Using Zoom, Teams, Vimeo, WordPress, DaVinci Resolve and other platforms, provide marketing and technical support to: • Create and distribute marketing emails • Schedule internal and external meetings • Create and configure webinars and meetings • Monitor live Zoom events and resolve individual and general technical issues • Web page generation and editing using WordPress • Create and edit registration forms and embed in event pages • Edit event recordings, improve audio quality, and publish to Vimeo • Archive files to central repository • Configure, share and export results of surveys in SurveyMonkey 3. Client communication • Register clients in events and other activities • Correspond by email with customers re. registrations, invoices, payments, membership, marketing, events, etc This role can be performed virtually and on a part-time basis (20-30 hours/week expected, based on variable workload), but availability during European office hours (9:00 – 18:00 CET) is required.
