Executive Assistant EMERGE is looking for a superstar executive assistant/project manager combo to support the CEO. You will be helping run the daily operations and overseeing all the company’s projects, while working with high-level executives to provide top-level assistance. As an Executive Assistant, in addition to handling incoming and outgoing communication, you will be in charge of scheduling meetings, maintaining complex virtual filing systems and databases, document review and preparation. As a Project Manager, you will be assisting leading the company’s projects with the CEO, including creating project plans, timelines and ensuring timely completion of the work. Ultimately, a successful Executive Assistant/ Project Manager should ensure the efficient and smooth day-to-day operation of our virtual office. Successful team members will work remotely (via Zoom, WhatsApp, Slack, etc) in CST timezone primarily but will need to be flexible. Job Skills and Requirements: Listening and Communication Skills: You will be expected to follow instruction from your supervisor, and your ability to understand those instructions with little or no follow up will be appreciated. Also, you might need to relay messages or instructions to other team members. Good listening and communication skills ensures that the information is relayed correctly. Constant communication and being responsive during working hours is expected to help avoid confusion in the virtual workspace. People/Interpersonal Skills: You will be communicating with several different team members/ departments, including the executive team. Communication outside of the EMERGE team can also occur when speaking to partners, students, instructors, etc. Organizational Skills: Your supervisor will rely on you to keep the working day in order. Scheduling meetings, travel plans, billing, etc. will all require you to have terrific organizational skills and follow up. In addition, you will need to track projects and constantly follow up to completion. Computer Skills: Writing emails, taking notes, creating spreadsheets, creating presentations figure heavily into the PM/executive assistant’s day. Daily Tasks: Attending daily SCRUM meetings with all department heads to check the status of current projects. Create project plans including timelines, roles, and specific tasks. Work closely with the executive team and different departments to ensure constant communication and understanding of the project goals and checkpoints. Ensuring all project deadlines are met. Securing opportunities for growth and learning, while issuing new projects. Optimizing the processes used and creating proposals for needed improvements. Reviewing and filtering all incoming and outgoing emails. Managing an executive’s daily schedule, setting up professional and personal appointments. Acting as a liaison and first point of contact with individuals and organizations. Performing searches and providing information and recommendations. Preparing presentations, documents, and other reports. Filing and organizing electronic documents, such as emails, reports, and other administrative records. Coordinate executive communications, including taking calls, responding to emails and interfacing with clients – Manage phone calls and emails. Prepare internal and external corporate documents for team members and industry partners. Schedule meetings and appointments and manage travel itineraries – Make travel arrangements. Uphold a strict level of confidentiality. Develop and sustain a level of professionalism among staff and clientele. Respond promptly to managers’ queries. Suggest more efficient ways to run the office and troubleshoot malfunctions. PM/Executive Assistant Skills: Highly collaborative Experienced delegator – of projects and tasks. Strong organizational, project management and problem-solving skills with impeccable attention to detail. Strong multi-project management experience. Exceptional interpersonal skills. Strong communication skills (via phone, email and in-person). Friendly and professional demeanor. Familiarity with Google Suite – calendar, drive, sheets, docs, and Gmail. Experience exercising discretion and confidentiality with sensitive company information. College degree; additional qualifications as Personal Assistant or Secretary are a plus. Minimum of 3+ years of experience as a Project Manager Preferred: Project Management Certificate Preferred: Work experience as a Senior Executive Assistant, Executive Administrative Assistant or similar role. Preferred: Experience with Trello, SCRUM, OKRs, GSuite, ECommerce or other similar online and project management tools.
