Seeking experienced, part-time, ongoing virtual administrative assistance. Estimate 12 to 20 hours per month (3 to 5 hours per week average). Hourly rate or monthly retainer negotiable. Monitor communication channels (email, chat, text, Slack) and respond timely. Handle email in Google Suite. Primary responsibility for the business owner’s email and joint responsibility for the customer support email. Respond to phone inquiries. Don’t need to be available for phone answering, just timely callbacks when a matter is escalated beyond the frontline virtual receptionist service. Coordinate projects and tasks with other virtual team members on behalf of the business owner, keeping the business owner “out of the loop” as much as possible with routine, daily tasks. Weekly coordination meeting by Zoom to keep the business owner “in the loop,” report back on open items, and plan upcoming work. Help the business owner to keep on track to business goals and vision (remind, prod, cajole, organize) Provide sales process and marketing support, including nurturing leads and prospects through the sales process and coordinating with the existing virtual marketing team. Client support as a secondary point of contact to the dedicated customer support team member. Provide CRM support, including data entry, maintenance, tasks, workflows, opportunities, and reports (CRM is WealthBox). CRM is the “center of activity” to keep all team members on the same page. Manage Calendly online scheduling system and Google Calendar. Arrange networking opportunities with other professionals and community leaders (lunch, get to know you, etc) Arrange in-person presentations and workshops for the business owner, including facility logistics. Arrange travel for the business owner (very infrequently). No bookkeeping is required (already have a virtual bookkeeper). Requires a friendly and cheerful demeanor with clients, prospects, and team members. Primary team communication is by Slack. Prefer virtual assistance from someone living in the Western US (business owner lives in the Mountain Time Zone). Work experience in a financial planning or wealth management business is preferred. Personal experience with disability or close relationships with people who have disabilities is preferred because the business specializes in serving special needs families, people with disabilities, and the wider disability community.
