== Summary == We’re looking for a talented, pro-active, dedicated, self starting Virtual/Administrative assistant to join our team for full-time work. == Details == You will be working closely with the director and various department managers across multiple different businesses so the job will be interesting, challenging and diverse. A key feature of the role is to provide support for the director. You’ll need to be a fast learner and quick to grasp new concepts. You will need to be solutions-focused with a "can do" attitude. Basic knowledge in math and bookkeeping concepts is essential. == Responsibilities == Responsibilities will include: * Ensuring website content is up to date on various websites * Directors Calendar is up to date and correct * Directors emails are processed, managed and actioned daily * Document, file and images are filed correctly * Ensure all products have images * Overseas stock orders are processed correctly and in a timely manner * Preparation of various monthly reports * Assistance with invoicing * Supporting director with various tasks * Respond to and action online customer support requests == Tasks == Although tasks will vary, generally they will include the following: – Activate and de-active products as required – Update product categories on the website – Update product data on the website – Load systems and procedures into LMS – Contact meeting attendees to re-schedule conflicting appointments – Communicate with relevant parties in order to respond to emails – File incoming documents – Forward files to relevant departments eg. Accounts – Manage files and folders – Collaborate with product and logistics manager – Manage image files – Upload images to Vend – Request images from graphic designers / Photographers – Image renaming – Update orders with pricing and shipping information – Request and follow up order payments – Update logistics and product manager on order progress – Process landed orders – Various product reports – Create reports as required – Create invoices for workshops – Data scraping/List building – Communicate with the various suppliers to request documentation – Confirm, accept and schedule calendar requests – Create meetings from emails – Send daily calendar schedule to director – Process emails throughout the day – Respond to emails – Action emails – Delete, delegate, assign, respond – File relevant document – Inform the director of any important emails – Follow up with suppliers for required documentation – Follow up with suppliers for shipping information – Follow up with various people for information – Website live chat support through messenger – Email support – Check products for incorrect data – Prepare weekly product reports – Send orders to suppliers – Prepare weekly hours report – Prepare and submit monthly sales report == Skills == Although training will be provided you will be expected to enter the role with substantial skills that cover the majority of these areas: * WordPress / Woocommerce * Google Calendar * Outlook * Gmail * Telegram * Wechat * ToDoist * Filemaker * Excel * Reporting * VendHq * Xero * Google Docs/sheets * Word/excel * Clockify * Writing * A basic knowledge of phone accessory and phone parts product knowledge * Excellent English grammar * Articulate * Research While Also possessing these soft skills * Attention to detail * Troubleshooting * Problem-solving * Organisational skills * Evaluation * Critical thinking * Proactive * Application of logic * Discipline * Consistency * Followup * Outgoing * Time management * Friendly/conversational * Excellent communication skills == How to Bid == To bid on the project please reply by starting your response with: "Your Super Assistant" At the beginning of your job post.
