The Administrative Assistant is responsible for helping the owner with administrative tasks, including license and software renewals, account reconciliations, scheduling appointments, partner communications, taking messages, note taking, and other tasks as needed. Essential Duties and Responsibilities: Answers phone calls, schedules meetings and supports visitors. Carries out administrative duties such as filing, typing, copying, binding, scanning etc. Completes operational requirements by scheduling and assigning administrative projects and expediting work results. Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations. Exhibits polite and professional communication via phone, e-mail, and mail. Supports team by performing tasks related to organization and strong communication. Provides information by answering questions and requests. Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies. Contributes to team effort by accomplishing related results as needed. Knowledge, Skills, and/or Abilities Required: To perform this job successfully, an individual must be able to satisfactorily perform each essential duty. High school diploma or equivalent education required 3 years of administrative assistant experience Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat Valid driver’s license and current automobile insurance Interpersonal skills such as: telephony skills, exceptional written and oral communication skills, active listening, and customer-care Ability to multi-task and adapt to changes quickly Typing skills to ensure quick and accurate entry of service request details (45+ WPM) Self-motivated with the ability to work in a fast-moving environment Excellent communication skills Keen attention to detail, memory of patterns, and interest in problem-solving Administrative skills such as: reporting, administrative writing, Microsoft Office, process management, organization, information analysis, interoffice professionalism, problem solving, supply management, inventory control, verbal communication.
