We are looking for a well rounded Office Admin to provide administrative and management support in a well-organized and timely manner. This will include a wide range of activities for a fast growing AI company. Responsibilities Full cycle recruitment Accounting, invoicing and contract management General accounting activities (general ledger entries, bank statement reconciliations, inter-company transactions, payroll support, etc.) Acting as Admin assistant to CEO Receiving calls, taking messages and routing correspondence Handle requests and queries appropriately Arrange meetings and appointments Making travel arrangements Office Maintenance (kitchen and common areas) Monitor office supplies and researching deals Assisting with our new building construction Working with General Contractor to ensure the building project is going smoothly Working alongside Office Manager to create a dynamic team Skills A year of experience minimum Proven experience as an administrative assistant, executive assistant or secretarial position Full comprehension of office management systems and procedures Proven experience in working with QuickBooks is a must. QuickBooks online preferred, but not required Excellent knowledge of MS Office Proficiency in English Exemplary planning and time management skills Up-to-date with advancements in office gadgets and applications Ability to multitask and prioritize daily workload High level verbal and written communications skills Discretion and confidentiality
