STEP 1: You will need to go a specify NYC data page. We will provide a link. The page should be called OATH Hearings Division Case Status. STEP 2: Click the “View Data” button. STEP 3: Click the “Filter” button. STEP 4: Click the “Filter” menu tab that appears, and add the following filter conditions: a. Issuing Agency, Contains, Buildings b. Hearing Date, Is After, April 21, 2021 c. Violation Details, Contains, Transient The checkbox next to "Buildings" and the checkbox next to "Transient" should be checked. STEP 5: Click the “Export” button, and select “CSV for Excel” STEP 6: Open the file in Microsoft Excel, highlight Line 1, and click “Filter” STEP 7: Sort Column F (“Respondent Last Name”) in Ascending Order. You should see duplicate entries. This simply means that more than one ticket was issued to that Respondent. STEP 8: Go to Column A, and for each Respondent, select one (and only one) ticket number. Copy that ticket number. STEP 9: Go to the ECB ticket finder website (we will provide a link), and paste the ticket number into the field, and click the “Search” button. STEP 10: Under the “Case Details” accordion tab, you will see a blue hyperlink that says “View Image of Summons/Notice” that you will click to see the summons (it will appear as a PDF pop-up). STEP 11: Write down the name of the Respondent as it appears in the “Respondent” field, and write down the address, as it appears in the “Mailing Address” field. We will need the address in its entirety, including any apartment, suite, or floor number. This is the most important step. On the page in Step 10, you can see the “Respondent Name” and “Respondent Address” entries typed out, but they are often incomplete on that page – the name may be shortened, and the address may be missing a floor, apartment, or suite number, which we need. Without precise, accurate information, letters we send can be returned to us as undeliverable. STEP 12: Download the Avery 5260 Label template for Word (we can provide a download link or a copy of the template). STEP 13: Use each box on the template to enter each respondent name and address. For example, one box might appear as follows: RUTGERS REALTY NY CORP 27 RUTGERS STREET, APT B NEW YORK, NY 10002 As you can see above, the format is as follows: RESPONDENT NAME RESPONDENT STREET ADDRESS, APT./SUITE/FL. CITY, STATE ZIP CODE You can move the Apartment/Suite/Floor to its own line if necessary. Please make sure that all information for each label fits. You may format each label to be either left, center, or justified, but please make sure that all labels are formatted the same and use the same font and font size. STEP 13: When all labels are complete, please send us the exported spreadsheet and document containing all mailing labels. We will use them to mail out letters, and if any labels are returned to us as undeliverable, we will double-check that the addresses were entered correctly (checking to make sure you entered the apt/suite/floor and the correct addressee name) and completely prior to marking the job as complete and leaving feedback on UpWork. If the first job is successful, we will likely repeat this process once per month
