Job Profile Project Assistant is responsible for providing scheduling, meeting support, document management, data collection and analysis, and communication for each project to achieve project goals within the specified time and budget and guide our clients. work is directed by the Lead Scientist and collaborates with the Project Manager on budget matters. The is responsible for supporting all the internal and external stakeholders for client projects. Roles and Responsibilities -Project scheduling support -Schedule all meetings with internal data2insight team and external clients per the project work plan -Add project deadlines to team calendars based on direction from Lead Scientist -Meeting support -Work with the Lead Scientist to prepare agendas for meetings -Take notes during calls and store in the client folder -Send action items to relevant parties within the specified timeline. -Document management -Support the Lead Scientist in the setup of client folder and share with Project Manager and other team members as needed -Manage documents within the client folder and ensure that they are in the proper place and the most current version -Data collection and analysis -Schedule and track interview and focus group data collection -Facilitate transcription of interview data and uploading to Dedoose for coding -Create and administer survey data collection in Qualtrics -Store survey data (collection instruments & raw data) in the client folder -Data management including data storage, de-identification of data, documentation of processes -Visualize data in Excel, Tableau, or Power BI (not mandatory) -Facilitation, communication, and learning -Support development of communication plans -Schedule and support facilitation of client grounding sessions -Schedule and support leadership development efforts -Schedule and support client training/professional development Knowledge, skills, and experience profile -A basic level of knowledge of justice, equity, diversity, and inclusion principles and practices -Demonstrated a proficiency in being culturally responsive in work settings -The ability to protect data per data security standards and maintain confidentiality -Ability to maintain composure in challenging situations -Excellent interpersonal, verbal, and written communication skills -Some experience with administrative services including scheduling, project coordination, and/or office and document management experience (research experience a plus) -Superior organizational and time management skills -An ability to be a responsive team member while also able to work independently without supervision under deadline pressure -The ability to prioritize and pivot based on shifting priorities -Fluency in both the structure and content of the English language including meaning and spelling, rules of composition, and grammar (Bi- or Multi-lingual preferred) -Knowledge of principles and processes for providing professional services. This includes client needs assessment, meeting quality standards for services, and evaluation of team and client satisfaction. Technical skills: -Proficient user of Zoom, Microsoft Teams, Google Apps, Smartsheet and Tsheets -Proficient user of Dropbox -Exemplary user of Microsoft Word and PowerPoint -Proficient user of Microsoft Excel -Proficient user of Windows and/or Mac OSX platforms -Strong aptitude for learning to use new software
