Real Estate Virtual Assistant Job Description We’re hiring a motivated real estate administrative assistant to join our growing team. Responsibilities include administrative duties such as keeping track of all our property transactions and documents during the contract to closing and acquisitions process, monitoring and notifying clients of important deadlines, scheduling appointments, and final walkthroughs. You’ll also support the team by preparing online and offline marketing materials. The ideal candidate should be a great communicator who is driven and highly detail-oriented. Real Estate Virtual Assistant Responsibilities: Answering calls and emails from buyers, sellers, and investors Making follow-up calls and sending follow-up emails. Preparing correspondence, scheduling meetings, and making travel arrangements. Preparing real estate purchase and sale forms and documents using DocuSign. Coordinating showings, assisting at open houses, and obtaining feedback from agents and buyers. Ordering supplies, preparing and distributing marketing materials. Maintaining electronic and paper filing systems. Preparing online and offline marketing materials, listing materials, and posting property listings. Managing a client database and preparing reports. Assisting with closing processes/Contract to Close. Assisting with property management, preparing leasing documents, processing repairs. Assisting with renovations of properties, including ordering renovations/repair materials, scheduling of deliveries/ picking up of materials. Scheduling contractors to obtain quotes on renovation and repair work. Gathering data about properties from websites such as Zillow.com, Realtor.com, and the MLS. Performing other administrative duties as assigned. Real Estate Assistant Requirements: High school diploma/GED. Degree education preferred. Previous experience in the real estate industry is beneficial. Strong English speaking skills. Strong communication skills, both verbal and written. Proficiency in Microsoft Office and CRM Able to work independently and as part of a team. Strong numeracy and organizational skills. Critical thinking and problem-solving skills. Strong attention to detail. Pay Rate: $4 – $6 / hour based on experience. Other Compensation and Benefits will be discussed during the hiring process.
