Position Overview My name is Desiree Whitehead, Founder of Howl Marketing, and I’m an entrepreneur and digital growth marketer looking for someone proactive and detail-oriented with excellent written and communication skills to be my new virtual executive assistant. This is a great job for somebody who loves being in a support position. This is not an apprenticeship. I am not training anyone to do what I do. I am looking for someone who is comfortable with a support role. I am looking for a professional with a proven track-record (5+ years of experience) of supporting busy business owners. My business is first and foremost an expertise-driven business, so there’s a huge emphasis on quality content, written communication, and quick response times. A lot of my workday revolves around focused deep work. So I am looking for somebody who can help me handle the lower-priority tasks that don’t need my direct management. You should LOVE detail-oriented things like organization, scheduling, note taking, travel logistics, and making a busy day run like a smooth machine. Position Details: – This is not an entry-level position. You MUST have at least 5 years experience working remotely as a Virtual Assistant for a business owner in an executive support role. – You can expect to get several requests per day from me, many of which include will tasks that must be completed that day. – You’ll be handling both business AND personal details. See below for the full list of responsibilities. This is a part-time role, starting between 10-15 hours per week. Depending on how we work together, this could increase to more hours per month. – It’s also a remote position, so you can work anywhere in the United States / during EST business hours. We communicate via email, chat, and phone. – You must be available during the weekday hours of 8 AM – 6 PM PST and able to respond to iMessage or Slack messages within 2 hours, and emails within 4 hours. Responsibilities The position’s main responsibilities and tasks will vary from day-to-day, week-to-week. These are the several examples for the types of projects/tasks that you could expect: 1) ADMINISTRATION: scheduling meetings, note taking, coordinating logistics, giving gifts, shopping online, completing paperwork, 2) RESEARCH: researching and reporting on new a variety of marketing related topics 3) SPECIAL PROJECTS: TBD Required Qualifications 1) 5+ years of relevant experience as an executive assistant, administrative assistant, and/or other relevant roles (e.g. office manager, chief of staff, head of operations). 2) Ability to manage multiple incoming requests while ensuring they are relayed or handled at the appropriate time, in the appropriate order and in a correct manner. 3) Highly organized. If you’re the kind of person who dreams of spreadsheets and always forward thinking you are the person we need! 4) Fantastic ability to self-manage and pay attention to details. You must love the idea of being efficient and good at your job. 5) Must be comfortable with remote, virtual roles and limited face-time. 6) Exceptional written and verbal communication. 7) Ability to quickly learn new software tools. Preferred Qualifications 1) Well-familiarized with Cloud based Apps such as but not limited to / G-Suite (e.g. Gmail, G-Cal, Google Drive/Docs/Sheets/Forms,Slack, Excellent Excel skills preferred but not required 2) Proactive ability to anticipate problems before they happen, navigate difficult situations when crises do arise, and afterwards build systems that prevent them in the future. 3) Capability of setting up new systems and processes in order to streamline business and personal functions.
