I own a personal and professional development company, and I am looking for a virtual assistant to help me streamline operations. This role involves a lot of client relationship management, project management, reporting and administrative stuff. It would likely be about 10 hours per week, to start, with substantial room for growth, as well as professional development through the use of our vast resource materials. Basically, right now I’ve got several marketing clients. So you’d be responsible for things like: – Recording meeting minutes for all internal and client calls (taking note of what was discussed and to-do items presented) – Being the main point of contact for all incoming requests and communications. – Managing schedules and project deadlines – Managing projects in a project management system Manage (and help build) our team of highly skilled contractors. – Research (Sometimes to learn more about a subject for an article, or to choose a project management software, or to find out things we just don’t know like how to make a PDF fillable) – Reporting on marketing activities by entering data into spreadsheets or managing a research team, where applicable. – Managing other people working for us to make sure deadlines are met (writers, designers, etc…) – Scheduling social media posts – Adding videos and PDFs and such to websites to create an online courses and events. (we do a LOT of this) – Testing emails, websites, etc to make sure they work before we go live (there are very clear processes for each of these I’d give you, of course) – Organizing digital files in Google Drive, DropBox, etc… – Creating digital handbooks that outline our processes and procedures – Making things look pretty by formatting documents Act as our Project Management MASTER, by becoming a ClickUp expert, and using your insights and creativity to consistently improve and refine the way we manage work in Clickup. Tech savviness is a MAJOR plus, but not a requirement. However, you will have to be someone who loves continued learning & development, as that is a core pillar of the work that we are doing. Now, for almost all of these, I already have processes and procedures in place. So, there are templates for just about everything. I’d also train you, thoroughly, of course. But, you’d basically be making sure everything runs smoothly and is as efficient as possible. If you find there are other parts of the business you enjoy (like graphic design, writing, etc…), you’re welcome to take those tasks on as well! Basically, I am doing everything right now. I need to bring someone on who can help me move away from doing a lot of this work… Most of which, I am frankly subpar at. I want our clients and our future clients / audience, (and team!) to have the highest caliber experience possible. That means bringing in someone much better than myself to really take ownership of operations and project management. Someone who is excited by the thought of: – Becoming an expert in their field. – Impacting the lives of fellow humans through our work. – Remaining curious, asking tough questions, and putting the mission and our people FIRST.
