VA Administrative Assistant for Mindful Wellness My healthcare and wellness business bridges the best of conventional medicine with ancient healing modalities. I use lab testing, genetic assessments and intuitive connection to assist people with imbalances in mind, body and spiritual health. Virtual Assistant Position We are looking for a Virtual Assistant who will be responsible for administrative support to our team while working remotely. You will handle administrative projects and deliver high-quality work under minimum supervision. You are required to have experience of fulfilling various administrative tasks٫ including answering emails and phone calls٫ supporting clients with scheduling appointments through Charm EHR, a HIPAA-compliant electronic health record and practice management system . A strong Internet connection is required٫ along with experience using communication tools such as Zoom, CRM such as Active Campaign, LOOM, Gmail and Google Docs. Virtual Assistant responsibilities are: • Organize communication via emails and phone calls • Provide customer service as first point of contact • Support clients with onboarding for the use of Charm EHR • Manage contact lists (both client and colleague) and organize calendar for email marketing campaigns • Create and review customer spreadsheets and keep online records • Prepare presentations (create LOOM educational videos) • Respond to emails and phone calls within 24 hours • Communicate with Charm EHR team regarding technical issues • Future – Perform market research • Future – Conduct market research and report on the results Virtual Assistant requirements: • 2+ years’ experience of working on a Virtual Assistant or other relevant position • Significant experience with current technologies٫ like desktop sharing٫ cloud services and VoIP • Speaks English proficiently • Good practical experience with word-processing software and spreadsheets٫ particularly MS Office • Good practical experience with online calendars and scheduling٫ particularly Google Calendar • Strong phone٫ email and instant messaging communication skills • Strong organizational and time management skills • High school diploma; additional qualification as an Administrator or Executive Assistant will be a bonus • To learn and become proficient with the use of Charm EHR; LOOM; CRM/Marketing/Email distribution (programs to be determined)
